- Manage candidate and employee documentation, ensuring complete files, correct information, and compliance with data protection policies.
- Keep the candidate pipeline updated in Airtable, recording status, progress, and updates on the process.
- Coordinate the pre-onboarding process, including welcome communications, induction, and preparation of new hires.
- Prepare and manage employment contracts for signing, validating candidate information beforehand.
- Follow up on inconsistencies, pending items, and potential delays, ensuring compliance with start dates.
- Coordinate with providers and internal teams processes for affiliations, medical exams, entry documentation, and other activities necessary for successful onboarding.
- Report incidents and opportunities for improvement in Airtable and other systems used for candidate tracking.
- Experience: 1 to 2 years in administrative HR processes, document management, pre-onboarding, or onboarding.
- Knowledge: Proficiency in Airtable or similar HR management tools and Google Workspace.
- Knowledge of HR processes in Colombia: Familiarity with affiliations to the social security system (EPS, pension, ARL, and compensation fund).
- Organization and attention to detail: Ability to manage multiple candidate processes simultaneously and ensure proper document validation.
- Communication: Ability to communicate clearly and promptly with candidates, providers, and internal teams.
- Follow-up and resolution: Ability to identify and escalate inconsistencies, risks, or delays in processes.
